At Forest Fox Photography, we take your privacy seriously. This policy explains what personal information we collect, why we collect it, how we use it and how we look after it.

Forest Fox Photography (formerly LOVEphotography / weLOVEphotography) is responsible for the personal information we collect and use in connection with our photography business.

What Information We Collect

When you contact us, make an enquiry, book a photoshoot, wedding or event, purchase a voucher or otherwise use our services, we may collect information including:

Your name, email address, telephone/WhatsApp number and address where required; details about your wedding, event or photoshoot; information about other people included in your booking; booking, contract, invoice and payment information; correspondence between us; photographs created during your booking; and your marketing preferences.

We may also receive your contact details when you enquire through third-party wedding directories, advertising websites or enquiry services.

How We Use Your Information

We may use your information to respond to enquiries and provide quotations; arrange and manage bookings; communicate with you; photograph and edit your wedding, event or session; provide proofing and finished galleries; process orders, invoices and payments; manage our diary and client records; provide customer service; maintain appropriate business and financial records; and meet our legal obligations.

Depending on what we're doing, we process personal information because it is necessary to provide or prepare to provide our services to you, because we have a legitimate business reason to do so, because we're legally required to, or because you have given us permission.

Your Photographs

For studio sessions, photographs may initially be provided through an online proofing gallery so you can choose any images included with your booking and purchase additional photographs if you'd like to.

Unselected or unpurchased proof photographs are normally retained for up to 30 days after your proofing gallery is made available, after which they may be permanently deleted.

This retention period does not extend any selection, ordering or special-price deadlines associated with your gallery.

Photographs you select or purchase may be retained long-term as part of our client archive. Many of our clients come back to us years later after losing photographs or wanting to order something else, and we love being able to help when we can.

We may also retain photographs that we have permission to use as part of our portfolio or promotional work for as long as they remain useful and relevant to our business.

Although we take great care of our photographic archive, we cannot guarantee permanent or lifetime storage of photographs. Please always download and safely back up your finished photographs.

Using Your Photographs

We love sharing the photographs we create, but we will not use client photographs in our portfolio, website, social media, advertising or other promotional material unless permission for this has been agreed.

We will normally ask about this after you've had an opportunity to see your photographs.

Occasionally we may offer a special price, discount or other booking incentive where permission for promotional use is agreed in advance. Where this applies, we'll make this clear before you book.

We take particular care when sharing photographs of babies and children.

Marketing

If you choose to join our mailing list, we may occasionally send you Forest Fox news, offers, promotions and updates by email.
Joining our mailing list is completely optional and isn't a condition of booking with us.
You can unsubscribe at any time using the unsubscribe option provided in our marketing emails or by contacting us. If you unsubscribe, we may retain limited information necessary to make sure we respect your request and don't send you further marketing.
We will never sell your information to another company for its own marketing.

Services We Use

Like most small businesses, we use trusted third-party services to help us run Forest Fox Photography.

These can include website and hosting providers; client-management, booking and scheduling systems; online galleries and photograph-delivery services; photography editing and workflow services; invoicing and accounting services; payment providers; voucher services; wedding directories and enquiry platforms; and email and communication services.

We only share information where it is reasonably necessary to provide our services, operate our business or meet our legal obligations.

Some of our service providers may process personal information outside the UK. Where this involves an international transfer of personal information, we take appropriate steps to ensure it is handled in accordance with UK data-protection requirements.

Payments

Most payments to Forest Fox Photography are made by bank transfer. We may also accept payments through PayPal and SumUp.

Where an external payment provider is used, payment information is handled according to that provider's own privacy and security arrangements. We do not normally receive or store your complete card details.

How Long We Keep Your Information

We don't keep every type of information for the same length of time.

Financial, booking and business records may be retained for as long as reasonably necessary to fulfil our contractual, accounting, tax and legal obligations.

Enquiries and other correspondence may be deleted when we no longer have a business reason to retain them.

Marketing information may be retained until you unsubscribe, ask us to remove it or we determine that it is no longer appropriate to retain it.

Photographs are handled as described in Your Photographs above.

We periodically review the information we hold and delete or anonymise information that we no longer have a reason to retain.

Your Rights

UK data-protection law gives you various rights over your personal information, depending on the circumstances. These may include the right to ask us for a copy of information we hold about you; correct inaccurate information; ask us to delete or restrict the use of information in certain circumstances; object to certain uses; and withdraw permission where our use of your information depends upon it.

You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data-protection regulator.

Keeping Your Information Safe

We take reasonable steps to protect the personal information and photographs entrusted to us and use reputable professional systems and services to help us manage and protect client information.

No method of digital storage or online transmission can be guaranteed to be completely secure, but we take the protection of our clients' information seriously.

Changes To This Policy

We may update this Privacy Policy occasionally as our business, services or legal requirements change. The latest version will always be published here on our website.
